Regarding the recent issues concerning unsafe lead levels in the whistles to be shipped to our client in South America, I would like to propose the following solutions to provide speedy and satisfactory resolution to this problem:

Reshipment of whistles within 30 days with 10% discount on product and waived shipping costs

Reshipment of whistles within 60 days with 20% discount on product and on shipping costs

Refund of deposit for whistles with voucher for discount on next delivery (this option does not include shipping discount)

I am proposing these alternatives after reviewing our previous records with this product to this and other clients in South America. Past records indicate that this client has paid invoices on a timely basis during the five-year period previous to this incident, and there have been no occasions in which quality, safety, or timely delivery has been compromised. In order to maintain good working relationships with this school system and others in the South American market, offering one or more of these options will ensure continued good will and a steady schedule of return business.

In addition, our reputation as a reliable and trustworthy company committed to quality products and a high level of customer service will remain strong and untarnished. In addition, by proactively responding to this problem, we will avoid costly legal fees and negative publicity should the client decide to take legal action. Disadvantages will be a loss in profits over the next two quarters; there will also be an increase in overhead and production costs. However, advantages outweigh the disadvantages if we are to maintain a good working relationship with this thriving and growing market, maintain high ethical standards, and avoid costly and counterproductive legal action.
Maintaining a strong reputation is certainly worth the reduction of fees laid out above. We have striven to build trust with our South American clients, and the vigilance of our quality control team and our immediate actions to reduce harm and replace the product at a discount will go a long way to ensuring our continued strong relationship with them.
